Everything Your Guests See On The Day

What Is On The Day Wedding Stationery?

On the day wedding stationery, also known as day of wedding stationery, is every printed piece your guests see once they arrive at your wedding. It includes welcome signs, seating plans, table numbers, menus, place cards, escort cards, order of service booklets, order of the day signs, bar menus, favour tags, ceremony fans and thank you cards.

Where your invitations introduce the wedding, your on the day stationery is what people hold, read and photograph during it. It sets the table, tells guests where to sit and what they are eating, and carries your design through from the ceremony to the last speech. Done well, it is the difference between a beautiful room and a beautiful room that feels considered.

At Babooche Calligraphy every piece is designed and made by hand in our studio, using letterpress printing, hot foil stamping, die cutting, hand painted illustration and hand written calligraphy on luxury cotton and handmade papers. We work with couples marrying in the UK, France and Italy, and ship worldwide. Recent commissions include a chateau wedding in Saint Emilion, and weddings and events at The Ned and The Corinthia in London.

From The Welcome Sign To The Last Table

On The Day Wedding Stationery Items We Make

Order the full collection or a single piece. Every item below is designed for your wedding specifically, printed to order and finished by hand in our studio. Nothing is pulled from a template and no two orders leave us the same.

The Pieces Most Couples Order

Wedding Welcome Signs

The first thing your guests see. Printed, hand painted or written in calligraphy, sized to your easel, frame or mirror. We often carry the venue illustration from your invitations onto the welcome sign so the two speak to each other, and we can produce a second sign where the ceremony and reception sit in different buildings.

Wedding Seating Plans

One large plan, a set of individual cards, or a hanging arrangement of tags. Names can be typeset or written by hand in calligraphy. Because guest lists change late, seating plans are always the last piece we make, and we build that into your timeline rather than chase you for names months early.

Wedding Menus

Flat, folded, die cut or held in a vellum pocket with a silk tassel. Menus are the piece guests take home, so they are worth spending on. We print them in letterpress, hot foil or full colour digital, and we can add a name to each one so the menu doubles as a place card.

Wedding Place Cards

Written by hand in calligraphy, flat or tented, on cotton card, handmade paper, vellum or acrylic. Add a wax seal, a painted edge or a foiled monogram. Hand written place cards are the single detail guests notice most, and they cost less than couples expect.

Wedding Table Numbers

Numbered or named, double sided so they read from both ends of the room, freestanding or framed. Named tables are a chance to tell your story, using places you have travelled together, favourite vineyards, or streets you have lived on, each with its own small illustration.

Order Of Service Booklets

Single sheets, folded cards or stitched booklets for a full ceremony with readings and hymns. The cover is where a venue illustration works hardest. We can bind with silk thread or ribbon, and produce a bilingual version where guests are travelling from more than one country.

The Pieces That Finish A Wedding Properly

Escort Cards

An alternative to a seating plan rather than an addition to one. Displayed as a wall, laid across a table or tied to a favour for guests to carry to their seat. Each card carries a name and a table, written by hand.

Order Of The Day Signs

The timeline of your day, from the ceremony through to the last dance, sized for the entrance or the reception room. It saves your guests asking, and your planner answering, the same question forty times.

Bar And Drinks Menus

Small cards along the bar or a larger sign listing your signature cocktails. A good place to be playful, with drinks named after the two of you, your dog, or the pub where you met.

Ceremony Fans

Essential for a summer ceremony in Italy, France or anywhere with an outdoor aisle. Folding or paddle shaped, printed with your order of service or simply your names and the date, so the fan works as a keepsake as well as a kindness.

Wedding Itinerary Booklets

For destination weddings running across several days. Welcome dinner, ceremony, reception and recovery brunch, with travel notes, dress codes and local recommendations, left in guest rooms on arrival.

Favour And Napkin Tags

Small pieces that carry the design onto the table itself. Written by hand, tied with silk ribbon or finished with a wax seal, on favours, napkins, olive oil bottles or whatever you are sending guests home with.

Directional And Venue Signage

Everything else the venue needs. Ceremony this way, cake table, guest book, unplugged ceremony, gift table, cards. Small signs that quietly do a great deal of work on the day.

Thank You Cards

Printed after the wedding, using a photograph from the day or the illustration that ran through your suite. Ordered alongside everything else so the design work is already done and the cards go out while the day is still fresh.

Not sure which pieces you need? Tell us about your venue and guest numbers in the questionnaire and we will recommend a collection alongside your quote.

Clear Figures, No Surprises

How Much Does On The Day Wedding Stationery Cost?

On the day wedding stationery at Babooche Calligraphy is individually quoted according to the pieces, quantities and finishes you choose. Every order is quoted for the wedding in front of us, because a hundred menus on handmade paper with hand written place cards is a different piece of work to twenty printed menus and a welcome sign.

Order the full collection or a single piece. Tell us what you need in the questionnaire and your quote arrives within 3 to 5 working days, itemised, so you can see exactly what each element costs before committing to anything.

What Changes The Price

Three things move the figure more than anything else. Understanding them puts you in control of your budget rather than at the mercy of it.

Guest Numbers

Menus, place cards and escort cards are made per guest, so they scale directly with the size of your wedding. Welcome signs, seating plans and table numbers do not, which is why larger weddings often work out lower per head than intimate ones. If your numbers are still moving, quote us the higher figure and we will adjust down.

Hand Written Work

Calligraphy is charged per name because it takes real time at the desk, one piece at a time. Printed calligraphy costs considerably less and still looks beautiful across a room. A sensible middle route, and the one many couples take, is to have the place cards written by hand and everything else printed.

Printing And Finishing

Letterpress, hot foil stamping, blind embossing, die cutting, vellum, silk ribbon and wax seals each add to the cost, and each is worth it on the right piece. Digital printing on a beautiful handmade paper is how you keep the figure down without the work ever looking cheap.

Where To Spend, If You Are Choosing

Put the money into the pieces guests hold. Menus and place cards are picked up, read and taken home, so they carry the most weight for what they cost. Welcome signs are seen once, photographed, and admired from a few feet away, so a simpler treatment reads just as beautifully. If the budget is tight, print the signage and spend the difference on the table.

Plan Your Dates

How Long Does On The Day Wedding Stationery Take?

6 to 8 weeks from the moment you go ahead to the moment it arrives. Design and proofing fill the first few weeks, production and hand finishing the rest. Most couples come to us three to four months before the wedding, once the invitations have gone out and replies are coming in.

Place cards, escort cards and seating plans depend on your final guest list, so they are always made last. We ask for finished names around three weeks before delivery, and we aim to have everything with you 2 to 4 weeks before the wedding, or with your planner if you are marrying abroad. If your date is closer than 6 weeks, ask us anyway. We can often work faster.

The Question We Are Asked Most

How Many Of Each Item Should You Order?

Nobody tells couples this, and getting it wrong is expensive in both directions. These are the numbers we work to, after years of setting tables for weddings from twenty guests to three hundred.

Menus

One per guest, plus ten

A menu at every place setting is what makes a table look finished, and it is the piece guests most often take home with them. Order one for every seated guest, with ten spares for the top table photographs and for your own keepsake set. Menus can carry a name as well, so each one doubles as a place card.

Place Cards

One per guest, plus five

One for every seated guest, children included. The five spares matter more than couples expect, because names change late and a plus one often appears in the final fortnight. Where the cards are written by hand, tell us the likely late names and we will write those too.

Escort Cards

One per guest

One card for every guest, each carrying a name and a table. Displayed as a wall, laid across a table or tied to a favour for guests to carry through with them. Escort cards work beautifully alongside a seating plan, with the plan setting the scene at the entrance and the cards guiding people to their seats.

Seating Plan

One, or two for a larger room

One plan at the entrance to the reception. Order a second where your guest list runs beyond a hundred and fifty, or where the room has two doors, so guests are never queuing to read it. A pair of matching plans on either side of an entrance also looks considered rather than practical.

Table Numbers

One per table, plus the top table

One for every round or long table, and one for the top table if it is named rather than numbered. Have them printed double sided so they read from both ends of the room, which costs very little more and saves guests walking the length of a table to find where they are.

Order Of Service

One per guest, plus five

One for every guest attending the ceremony, so nobody is left following along over a shoulder, and everyone leaves with a booklet to keep. Order five extra for the celebrant, the musicians, the photographer and your own album. Where guests are travelling from more than one country, we can produce a bilingual version.

Ceremony Fans

One per guest

One for every guest at the ceremony, with a few more for anyone standing at the back. For an outdoor summer ceremony in Italy or the south of France they are the single kindest thing you can put on a chair, and they double as an order of service when printed on the reverse.

Welcome Signs

One for each arrival point

One at the entrance where guests arrive, and a second where the ceremony and reception sit in different buildings or where evening guests come in by another door. Couples with a welcome dinner or a day after brunch usually want a sign for each, so every part of the weekend feels dressed rather than only the wedding itself.

Itinerary Booklets

One per guest

One for every guest travelling, left in their room on arrival. Guests read these at breakfast and on the way to the ceremony, and having their own copy means nobody is asking your planner what time the coach leaves. Add a few spares for the venue and the suppliers.

Venue Signage

One per moment

Walk your venue in order and count the points where a guest might pause. Ceremony this way, drinks on the terrace, the guest book, the cake table, the gift table, the bar. Each of those is a small sign, and together they are what makes a venue feel entirely yours for the day.

On Spares

Always order spares in the original run. Going back for five more menus after production has finished means paying a second setup, and on letterpress or hot foil that can cost more than the extra pieces themselves. Ten percent over your guest number is the sensible margin.

Keep one clean set of everything back for yourself. Couples almost never do this, and it is the thing they write to us about a year later, when the photographs are printed and there is nothing left to frame.

Give us rough numbers in the questionnaire and we will work the quantities out with you. Estimates are perfectly fine at this stage.

One Design, From The First Envelope To The Last Table

Matching Your Day Of Stationery To Your Invitations

Your invitations set an expectation months before the wedding. On the day stationery is where that promise is either kept or quietly broken. Whether we designed your suite or not, we can carry the design through to every piece in the room.

Die cut wedding menu in a vellum pocket with venue illustration and gold silk tassel matching the invitation suite

If We Made Your Invitations

Everything is already in place. The artwork, the palette, the paper and the calligraphy style carry straight through to the tables, so the whole wedding reads as one piece of work rather than two separate orders that happen to sit in the same room.

Illustrations drawn for your invitations are reused at no extra cost, which is one of the reasons ordering both together works out better than commissioning them separately. There is no second design fee and no time spent matching a colour we already have on file.

Most couples also want something new for the day itself. A different view of the venue on the menus, a crest that only appears on the seating plan, a motif your guests have not seen before. The suite stays recognisable, the reception still feels like its own occasion.

Wedding place cards written in calligraphy on a set table, designed to match an existing invitation suite

If Your Invitations Came From Elsewhere

This is more common than you would think, and it is never a problem. Plenty of couples order invitations early, then decide months later that they want the day itself handled properly. We take on day of stationery as a standalone commission every season.

Post us a spare suite, or send clear photographs of it in daylight, and we will match the palette, the weight of the paper and the feel of the typography. Where a typeface is licensed to another studio we draw something close rather than copy it, and in practice nobody at your wedding will see the difference.

You can also start fresh. There is no rule that says the reception must look like the envelope that arrived nine months earlier, and some of our favourite work has come from couples who wanted one look for the invitations and something altogether different for the day.

Tell us who made your invitations in the questionnaire and we will build the proposal around what you already have.

The Art Of Fine Paper

Papers, Printing And Finishing

What separates luxury on the day stationery from something ordered online is not the design on the screen. It is the paper it is printed on and the way the ink meets it. Every technique below is available across every piece we make, and they can be combined within a single order.

Letterpress printing process for luxury on the day wedding stationery on handmade paper

Letterpress

A plate pressed into thick cotton paper, leaving an impression you can feel with your fingertips. On menus and place cards, where guests physically pick the piece up, letterpress is the technique that registers most. It reads as quiet rather than showy, which is precisely why it has never gone out of favour.

Gold hot foil stamping on luxury wedding menus and place cards

Hot Foil Stamping

Metallic foil applied with heat and pressure, in gold, silver, copper, rose gold or a colour matched to your palette. Foil earns its place on a table lit by candles, because it catches every flame in the room. We foil monograms on place cards, borders on menus and full illustrations on welcome signs.

Hand written calligraphy and wax seal on luxury wedding place cards

Hand Calligraphy

Every name written at the desk with a dip pen, one card at a time. Place cards, escort cards, favour tags and seating plans can all be written by hand. Guests notice their own name before they notice anything else on a table, which is why this is the detail worth having written rather than printed.

Handmade paper with deckled edges for luxury on the day wedding stationery

Handmade Paper

Cotton papers from specialist mills, with soft deckled edges and real weight in the hand. We mix papers across an order where it makes sense, a heavier stock for the seating plan and something finer for the menus, and a piece printed simply on a beautiful paper always outclasses a busy design on an ordinary one.

Finishing Touches

The details that take a printed piece and make it an object. All are available across the collection, and a single one used well often does more than three used at once.

Die Cutting

Menus cut to the shape of a gate, an arch or a crest

Blind Embossing

A raised impression with no ink at all, seen only in the light

Wax Seals

Your monogram or motif, in a colour drawn from your palette

Silk Ribbon

Hand dyed, tied on menus or trailing from a seating plan

Vellum

Translucent wraps and pockets that soften everything beneath

Silk Tassels

Finishing a menu or an order of service with real weight

Hand Painting

Painted edges, borders and watercolour detail added by hand

Acrylic On Request

For signs and plans, where the venue calls for it. Paper is our home

Read more about our letterpress and hot foil printing, our hand written calligraphy and our hand painted venue illustrations.

If you are unsure what suits your venue or your budget, tick need guidance on the questionnaire. Advising on this is part of the work, not an extra.

Married Abroad, Handled From Here

On The Day Stationery For Destination Weddings

Most of our couples marry abroad, and day of stationery is the part of a destination wedding that most often goes wrong. Boxes held at customs, signs bent in transit, place cards arriving the morning of the wedding. None of that is bad luck. It is a timeline that was never built for a border.

Where We Work

We design and make on the day wedding stationery for weddings across Europe and beyond, working with couples and planners in the UK, France and Italy in particular. Recent commissions include a chateau wedding in Saint Emilion, and weddings and events at The Ned and The Corinthia in London.

France

Chateau weddings in Bordeaux, the Dordogne and the Loire, vineyard weddings in Saint Emilion, and celebrations on the Cote d’Azur. Long weekends with a welcome dinner, a ceremony and a farewell brunch, all of which need their own stationery.

Italy

Villa weddings on Lake Como and Lake Garda, Tuscan estates, and the Amalfi coast. Outdoor ceremonies in high summer, which is where ceremony fans stop being decorative and start being necessary.

United Kingdom

London hotels including The Ned and The Corinthia, country house weddings and private estates. Domestic delivery is straightforward, which leaves more of the timeline for the work itself.

How Delivery Works

We Ship To Your Planner Or Venue

Not to a hotel room, and not to you on the day you fly. Stationery goes to whoever is on the ground ahead of the wedding, usually your planner, so there is someone to receive it, check it and store it flat. If you would rather carry it yourself, we deliver to your home in good time to pack.

Customs Is Built Into The Timeline

Since leaving the EU, paper goods sent from the UK to France or Italy need proper commercial paperwork, and a parcel with the wrong declaration sits in a warehouse until someone pays to release it. We handle the documentation, declare correctly, and build the clearance window into your dates rather than hoping for the best.

Packed For The Journey

Everything travels flat, interleaved with tissue, with signs and seating plans boxed separately and corner protected. Place cards are sorted alphabetically and labelled by table so nobody is laying them out from a pile at midnight. Every shipment is tracked and insured.

Arriving Before You Need It

We aim for 2 to 4 weeks ahead of the wedding for a destination delivery, which leaves room for a customs delay without anyone losing sleep. Delivery is quoted in your proposal from the start, so it is never a figure that appears at the end.

Working With Wedding Planners

A good part of our work comes through planners, and we are comfortable being managed. We will work to your production schedule, copy you on proofs, send setup notes and quantities with the delivery, and deal with the venue directly where that is easier. If you are a planner looking for a stationer who will not need chasing, tell us about the wedding and we will come back with a proposal you can put in front of your couple.

Tell us your venue and country in the questionnaire and your quote will include delivery, customs and a timeline built around your wedding date.

From Enquiry To Delivery

How Ordering Works

Five steps, 6 to 8 weeks, and one questionnaire to fill in. You will know what everything costs before you commit to anything, and nothing goes to print without your written approval.

1

Tell Us About Your Day

Complete the questionnaire. It covers your venue, your guest numbers, the pieces you want, rough quantities and the look you have in mind. It takes about ten minutes and it is the only form you will ever fill in with us. Estimates are fine throughout, nothing there is binding.

2

Receive Your Proposal

Within 3 to 5 working days we send a written proposal built around your wedding. Design direction, recommended papers and printing, itemised prices, delivery and a timeline against your date. If you would like to talk it through, we arrange a call at that point rather than before.

3

Book Your Place

Once you are happy we send a contract and a deposit invoice, which secures your dates in the studio calendar. Summer weekends fill early, so the sooner this is settled the more room there is in the timeline for the design work itself.

4

Design And Proofing

You get your own area on our client system where every proof and every message lives in one place. We sketch first, then produce realistic digital proofs of each piece. Changes are made until it is right, and nothing is printed without your written sign off.

5

Names, Making And Delivery

We ask for your final guest list around three weeks before delivery, then the place cards, escort cards and seating plan are made. Printing, calligraphy, wax seals and hand finishing all happen in the studio. Everything is packed flat, tracked and insured, and sent to you, your planner or your venue.

What We Need From You

Very little, and all of it at points we will prompt you for. Your menu wording once the caterer has confirmed it, your order of service from the celebrant, and your final guest list with names spelled exactly as you want them to appear.

That last one is worth care. Send the list as a spreadsheet with one name per line, titles included, and check the spellings before it comes to us. Names are written exactly as supplied.

Ready to begin? The questionnaire takes about ten minutes and your proposal follows within 3 to 5 working days.

Everything You Need To Know

On The Day Wedding Stationery Questions

What is on the day wedding stationery?

On the day wedding stationery, also known as day of wedding stationery, is every printed piece your guests see once they arrive at your wedding. Welcome signs, seating plans, table numbers, menus, place cards, escort cards, order of service booklets, order of the day signs, bar menus, ceremony fans, favour tags and thank you cards. Your invitations introduce the wedding. This is everything that happens once people are there.

How much does on the day wedding stationery cost?

Your quote depends on your guest numbers, the pieces you need, how many are written by hand and the printing and finishing you choose. Every order is quoted individually and itemised, so you can see the cost of each element before committing. Your quote arrives within 3 to 5 working days of completing the questionnaire.

How long does it take to make?

6 to 8 weeks from the moment you go ahead to delivery. Design and proofing take the first few weeks, production and hand finishing the rest. If your wedding is sooner than that, ask us anyway. We can often work faster than the standard timeline.

When should I order my day of stationery?

Most couples come to us three to four months before the wedding, once the invitations have gone out and replies are coming in. Enquiring earlier secures your dates in the studio calendar, and summer weekends fill first. You do not need final guest numbers to start.

Do I need my final guest list before you can start?

No. We design everything first and hold the names until later. Place cards, escort cards and seating plans are always made last, and we ask for your finished list around three weeks before delivery. Rough numbers are all we need at the enquiry stage.

Can you match invitations you did not design?

Yes, and we do it regularly. Post us a spare suite or send clear photographs taken in daylight, and we will match the palette, the paper weight and the feel of the typography. Where a typeface is licensed to another studio we draw something close rather than copy it. You are also welcome to start fresh with a different look for the day itself.

Can I order just one or two items?

Yes. Some couples take the full collection, others want only a seating plan and menus, or place cards alone. Tell us what you need in the questionnaire and we will quote for exactly that.

Is the calligraphy really written by hand?

Yes. Place cards, escort cards, favour tags and seating plan names are written at the desk with a dip pen, one at a time. Printed calligraphy is also available and costs considerably less. Many couples have the place cards written by hand and everything else printed, which is a sensible way to spend the budget.

Do you ship to destination weddings abroad?

Yes, worldwide, tracked and insured. For weddings in France, Italy and elsewhere we usually deliver to your planner or the venue rather than a hotel room, we handle the customs documentation ourselves, and we build the clearance window into your timeline. Delivery is quoted in your proposal from the start.

How many menus and place cards should I order?

One menu per place setting and one place card per guest, children included, with spares in both cases. Order the spares in the original run rather than going back afterwards, because a second print setup can cost more than the extra pieces themselves. Ten percent over your guest number is the sensible margin.

Do you work with wedding planners?

A good part of our work comes through planners. We will work to your production schedule, copy you on proofs, send setup notes and quantities with the delivery, and deal with the venue directly where that is easier.

What if I do not know what I want yet?

That is completely normal, and there is a need guidance option on every question about papers, printing and finishes. Tell us your venue and the feeling you are after and we will recommend a direction in the proposal. Advising you is part of the work, not an extra.

Have a question that is not answered here? We would love to hear from you.
